1. Welcome

Thank you for choosing WinRental.gr for your Crete adventure! By completing a reservation with us, you agree to the terms below. We have kept them as simple and fair as possible, but please take a moment to read through them so there are no surprises.

We may update these terms from time to time. Our website is available around the clock, though occasionally it may go offline briefly for maintenance. If that happens, feel free to reach us by email or phone.

When you book, we will ask for the basics: your name, phone number, email, home address, country, date of birth and a payment card. We use this information only to process and manage your reservation. Your data is kept secure and is never shared with third parties for marketing.

2. Who Can Drive

Age

You need to be at least 20 years old to rent a vehicle with us and hold a valid driving license for at least one (1) year.

Drivers aged 20–22 may choose from our Small, Economy, Medium (manual or automatic), and Small SUV categories. From age 23 up to 80, you can access nearly all vehicle categories.

Driving Licence

You will need a full, valid drivers license that you have held for at least one year. We accept Greek, EU, U.S and UK licenses. If your license was issued outside the EU, UK and U.S please also bring a valid International Driving Permit (IDP) together with your original license. Digital licenses or photocopies cannot be accepted – we need the physical card.

Only Listed Drivers

Only drivers listed on the rental agreement may drive the car. We allow up to 3 drivers in total per rental. If someone else needs to drive, let us know and we will add them – as long as the limit has not been reached. (An additional charge may apply to add a driver)

Documents at Pickup

Please bring your valid driving licence, passport or ID card, and a valid physical credit or debit card in the driver’s name. All documents must match. The rental can proceed only if all required documents are valid and match the main driver’s details. It is your responsibility to ensure that your documents are valid for driving in Greece. If the renter fails to meet the required pickup conditions, the service is considered available and no refund will apply.

 

3. Your Booking

Minimum Rental

Our shortest rental is one day (24 hours). Any rental period of less than 24 hours will be charged as a full rental day.

Cancellations & Changes

Plans change — we completely understand. Here is how cancellations work:

·      Platinum Package

2 days or more before pickup: Free cancellation.

Less than 2 days before pick-up: Unfortunately, we cannot offer a refund at this stage, as the vehicle has already been reserved exclusively for you.

Last-minute bookings (made within 48 hours before pick-up) are non-refundable.

·      Silver & Gold Packages

8 days or more before pick-up: 75% refund of the total Booking amount paid. If only the 25% advance payment has been made, it is non-refundable.

Less than 8 days before pick-up: Unfortunately, we cannot offer a refund at this stage, as the vehicle has already been reserved exclusively for you.

Last-minute bookings (made within 8 days before pick-up) are non-refundable

·       Changes to Your Booking

Need to adjust dates or times? Just contact us — we are happy to help. Changes are subject to availability and in line with our rental terms.

If a modification requested less than 8 days before pick-up results in a shorter rental period, the unused rental days are non-refundable.

Last Minutes Bookings

For last-minute reservations (within 24 hours), we may adjust the pickup time depending on operational availability. We will always let you know.

Vehicle Swap for Personal Preference

We provide the vehicle category you selected at the time of booking. The Company reserves the right to provide a similar or higher category vehicle when necessary. If, for personal comfort reasons (and not due to a technical issue or company responsibility), you would prefer a different vehicle, we will be happy to assist subject to availability and price with a €20 handling fee.

If the delivered vehicle matches the booked category, no refund or compensation applies.

Early Return

If you bring the car back earlier than planned, the remaining days are not refundable, as the vehicle was held exclusively for you.

Evaluation

Your feedback and experience are extremely valuable to us. To continuously improve our standards and enhance the quality of our services, we send a short evaluation form after the completion of your rental.

4. Pickup & Return

When you collect your vehicle, it will be provided in proper working condition, with all necessary documents, equipment, tools, and accessories, warning triangle, a reflective safety vest, a first aid kit, a spare wheel or tire repair kit, a jack, and a wheel wrench…, all of which must be returned with the vehicle at the end of the rental period.

Where

We can deliver and collect vehicles at all airport exits, ports, and selected city locations in Crete — simply let us know in advance where you would like to meet us.

Grace Period

Your rental runs in 24-hour periods.

We allow a 1-hour grace period for returns. If you are running more than one hour later than the agreed time stated in the Rental Agreement, an extra rental day will be charged. please give us a call if you think you will be late.

Note: If you are more than an hour late your insurance coverage becomes void, please inform us right away to renew your insurance coverage and updated your new return time of your rental.

No-Shows

If we do not hear from you within one (1) hour of the scheduled pick-up time, we reserve the right to release the car. A quick call (Viber, WhatsApp, local) is all it takes to hold your reservation.

Flight/Boats Delays

We monitor flight/Ships arrivals to make your airport pick-up smooth and stress-free.

If your flight/Boat is delayed, there is no need to worry about it, we will be there when you land

Please make sure to provide your flight number, Boat name in advance so we can track your arrival. A quick heads-up by call (Viber, WhatsApp, local) is always appreciated.

The company shall not be held liable for failure or delay caused by events beyond reasonable control.

Some extra charges may apply regarding new night hours arrivals and/or locations changes

Important:

If you do not provide the correct flight number, boat name, and/or valid contact details, we will not be able to monitor possible delays. In such cases, only one (1) hour of waiting time will be applied from the agreed arrival time. After this period, the vehicle collection will be rescheduled for the next day.

After-Hours Service

Pick-ups and drop-offs between 22:30 and 23:30, or between 06:00 and 07:30, are subject to an additional fee of €20.For the late-night window between 23:30 and 06:00 the fee is €50 to cover our staff working through the night.

Fuel Policy

Simple rule: bring it back with the same fuel level you got it. If the tank is lower, we will top it up and charge you for the missing fuel plus a €15 refueling service fee. No refunds are provided for vehicles returned with more fuel than received.

Returning the Vehicle

The vehicle must be returned to the agreed location, date, and time as stated in the Rental Agreement. Want to drop off somewhere else? No problem – arrange it with us at least 48 hours in advance and we will let you know the one-way fee.

Returning the vehicle to a different location without prior agreement may result in additional charges.

Cleanliness, Smoking & Pet Policy

We expect the car to be returned in a reasonable condition so it can be properly inspected. All our vehicles are strictly non-smoking — every customer deserves a fresh and clean car.

We are pet lovers too! Your four-legged (or feathered) travel companions are welcome on board; however, for their safety and comfort, they must travel in an appropriate transport box similar to those used for air travel. Crete’s winding roads can be unpredictable, and a secure box helps protect both your companion and the vehicle while keeping the car fresh for the next family.

A bit of holiday dust is perfectly fine! However:

• External cleaning (€20): Applied if the vehicle is returned excessively dirty on the outside and cannot be properly inspected for damage.

• Interior bio-cleaning (€150): Applied if smoking is detected, pets travel without a transport box resulting in hair or stains, or if heavy residue such as sand, sunscreen oils, or food spills requires professional biological cleaning.

These charges reflect the cost of professional cleaning needed to restore the vehicle to a safe and hygienic condition for the next customer.

5. On the Road

Drive Responsibly

We trust our customers to look after the car. That means following Greek traffic rules, parking laws and parking signs, respecting speed limits, wearing seatbelts, and not driving under the influence of alcohol or any substances. Just treat the car as if it were your own.

Stay on Paved Roads

Crete has some stunning but very rough terrain. Our cars are designed for paved, public roads only. Driving on dirt or gravel roads (for example the notorious track to Balos Beach, or Agiofarago…) is not covered by any insurance package and will result in a flat charge of €450 upon return, cancellation of any Platinum (WUG) coverage, and full responsibility for any damage caused.

We know Balos is on everyone’s bucket list – and it should be! We strongly recommend taking the boat from Kissamos port instead. The views from the water are even more spectacular, and you will not have to worry about your car or your tires on that rocky road.

Staying on Crete

Our cars cannot leave the island of Crete. Taking the vehicle off the island (including by ferry) occurs insurance coverage to be void and full responsibility for any loss or damage will rest with the renter.

If you have special travel plans, please speak with us in advance.

Vehicle Care

Please keep an eye on the basics: if any dashboard warning light comes on, pull over safely and call us. Do not ignore overheating, low oil, or any unusual sounds. Mechanical issues caused by negligence (wrong fuel, ignoring warnings, not using the handbrake on hills) are the driver’s responsibility. Park safely and secure the vehicle when unattended.

Mechanical damage caused by negligence (wrong fuel, ignoring warning lights, improper gearbox use, battery drain, overloading, etc.) may remains the renter’s responsibility.

Vehicle Security & Location Protection System

For enhanced vehicle protection and insurance compliance, some vehicles may be equipped with location technology (GPS).

This system is used solely for security purposes, such as theft prevention and recovery, verification of geographical restrictions, or investigation of serious contractual breaches. It is not used for continuous personal monitoring or behavioral tracking.

Location data is processed in accordance with Article 6(1)(f) of the GDPR, based on the Company’s legitimate interest in protecting its property and enforcing the Rental Agreement. Access is strictly limited to authorized personnel and only when reasonably necessary.

Data is retained only for the period required for these purposes and is securely deleted thereafter.

By signing the Rental Agreement, the Renter acknowledges the existence of this limited vehicle protection system.

6. Packages/ Insurance, Extras & Protection

We offer three levels of protection so you can choose the coverage that best suits your needs.

Without protection and coverage – High Liability

·      Gold Package

With limited protection and coverage - Limited Liability

Theft and fire protection (TP & FP),  Free Personal accident insurance (PAI)

·      Platinum Package

With full protection and coverage – *0€ ZERO Liability

0€ Zero Excess / Deductible Super collision Damages waiver (SCDW), 0€ ZERO Excess/ Deductible Wheels, Undercarriage, Glasses (WUG), 0€ ZERO Excess/Deductible Theft & Fire Protection (TP & FP), FREE Personal Accident Insurance (PAI), FREE Third Party Liability (TPL/TPI), FREE Child/Baby seats, FREE additional Driver, FREE Cancellation up to 48 hours before delivery, FREE towing/ Road side Assistance, FREE Lockout Fees & Lost Key.

With the Platinum package, you enjoy Complete insurance coverage with Zero liability. Every potential extra charge is already included, giving you total peace of mind and a guaranteed final price with no surprises.  

We strongly recommend the Platinum package.  

Althought a deposit is still required to cover fuel discrepancies, traffic fines and lack of compliance to our terms and conditions. (Ex: Traffic Laws)

Small – Medium – Economy, Fiat 500 Convertible 400€, Full Size – SUV – 600€, Large SUV  – 700€, Medium & Large Convertible, 7 Seats –  800€, Luxury BMW,  RAV 4W4, Nissan X-Trail,  9 Seats – 950€

Keys

Lost a key? Call us straight away and we will get a spare to you. You will be charged for the key replacement cost, a €25 admin fee, plus delivery based on distance. If the keychain is lost, there is a €20 replacement charge. Free for Platinum Package.

Child Seats

Available on request for all ages. Due to insurance regulations, we ask that you install the seat yourself. Please note we do not provide Isofix seats. Free for Platinum Package

Parking Cameras & Apple CarPlay

Some of our cars come with parking cameras and/or Apple CarPlay or Android Auto. These are nice-to-have features but are not guaranteed, so please do not count on them being in your particular car.

Personal Belongings

We are not responsible for personal items left in the vehicle.

Please check carefully before returning. If an item is found, it can be returned via courier at the renter’s expense.

What Insurance Does NOT Cover

Please note that no insurance package covers damages resulting from driving under the influence of (alcohol, drugs...) off-road driving, or violations of traffic laws (such as running red lights, illegal overtaking, speeding..). Accident when the vehicle is parked, and also while parking or leaving a parking space. These exclusions are standard practice across all car rental companies in Greece.

7. What to Do in Case of an Accident

First, stay calm. Then:

       Call us immediately so we can help.

       Contact the police (dial 100).

       Do not move the car until authorities arrive.

       Fill in our online incident report within 24 hours.

•     Provide all relevant documentation

Following these steps is essential – skipping any of them may affect your insurance coverage. If the accident was your fault, you pay up to your excess amount (Silver/Gold).as soon as our terms are followed  A claims processing fee of €60 applies to all incidents regardless of coverage.

8. Security Deposit

A refundable deposit is required at the start of every rental. The exact amount depends on the package you choose, your age and the car category which is clearly specified during the booking process & Package Selection.

Any kind of deposit are released after the vehicle inspection at the end of the rental:

• Returns Friday–Sunday → processed on Monday

• Returns Monday–Thursday → processed on Friday

Once the security deposit has been released by WinRental.gr, the time required for the funds to appear back in your account depends solely on your card issuer or bank.Depending on the card issuer, funds may take 3–14 business days to appear back on your account.

If your card uses a different currency, your bank may apply conversion fees – that is outside our control and responsibility

With the 0€ Deposit option, powered by Cardoo, you can collect your vehicle without a security deposit for a small additional fee.

·       Please note that this service does not replace insurance, fuel discrepancies, traffic fines and lack of compliance to our terms and conditions. (Ex: Traffic Laws). It does not reduce your financial responsibility or excess (deductible). Your liability remains defined by the insurance package selected and the signed Rental Agreement.

9. Payment

We accept Visa, Mastercard and Maestro (credit and debit). Apple Pay, Google Pay, PayPal and Stripe(American Express) are available for online bookings. Cash and bank transfers are also welcome.

Please note: American Express is accepted online via Stripe/PayPal but not for on-site payments.

Security deposits are processed via Cardlink (Greek card payment provider).

10. Traffic Fines & License Plates

·      Traffic Fines

Any traffic tickets incurred during the rental period are the responsibility of the renter. If a fine is received by our office after the vehicle has been returned, the amount of the fine will be charged to the card on file, along with a €50 administration fee to cover processing and handling.

If you receive a fine during your rental but are unable to pay it before your departure, you may inform us and provide the relevant document so the amount can be settled directly with us before leaving. In this case, no 50€ administration fee will be charged.

·      License Plate Removal

In Greece, licence plates may be removed for certain parking violations, such as parking in residents-only zones, disabled spaces, loading areas, or any clearly restricted location. Please pay close attention to parking signs, as even a brief stop in the wrong spot may result in plate removal.

If this occurs during your rental, please inform us immediately.  A €250 handling fee will apply.

Please note that while police stations operate on weekends, the traffic police office responsible for licence plate returns is closed on Saturdays and Sundays. If plates are removed on a Friday or Saturday, they cannot be recovered until Monday, during which time the vehicle cannot be rented.

As a result, you will be charged the daily rental rate for each day the vehicle remains unavailable, including all days after your departure until the license plates are retrieved and the vehicle can be returned to service, in addition to the applicable handling fee.

If you wish to continue renting a vehicle during the period in which the original vehicle is immobilized due to the removal of the license plates, this will be treated as a separate booking and charged accordingly and upon availability.

This situation can easily be avoided by carefully following parking signs and local traffic regulations.

11. Legal & Clause of acceptance of damage assessment, vehicle return responsibility & consent to charge

Damage Assessment & Authorization to Charge

When the vehicle is returned, it is subject to inspection by our team.

By handing over the vehicle, you acknowledge that its condition will be assessed and that any damages beyond normal wear and tear may be recorded and charged accordingly. Normal wear and tear is determined according to standard vehicle rental industry guidelines.

Return Outside Business Hours

If the vehicle is returned outside business hours or without a company representative present, you remain responsible for the vehicle until it has been officially inspected by WinRental.gr at the next available inspection.

Any damage identified during that inspection will be attributed to the rental period.

Damage Notification & Charges

Repair costs are not estimated arbitrarily.

Damage assessments are calculated using DAT International – SilverDAT, an industry-recognized automotive damage calculation system, based on vehicle identification data and manufacturer specifications to ensure accurate and standardized repair pricing.

A copy of the calculation may be provided upon request. Costs may be charged to the payment card listed in the Rental Agreement or used for the reservation or deducted from the security deposit, which constitutes the renter’s express and irrevocable authorization for delayed charges related to damages, fines, cleaning fees, outstanding amounts, or breaches of the Rental Agreement.

 

 

Acceptance & 48-Hour Review Period

Notification is considered valid once sent to the email address provided at booking. If no written response is received within 48 hours, the Company may proceed with the corresponding charge in accordance with the Rental Agreement.

Acceptance may be confirmed through email, SMS, digital agreement validation, or any other verifiable form of communication. Failure or refusal to sign the damage estimate does not invalidate the damage assessment or the renter’s obligation to pay the corresponding amount.

The renter agrees that any dispute should first be addressed directly with WinRental.gr. Unjustified chargebacks after services have been provided may be contested using the signed rental agreement, booking records, and supporting documentation.

Insurance Reimbursement

If you wish to claim reimbursement through your personal insurance or card provider, we will provide reasonable supporting documentation upon request.

WinRental.gr is not responsible for the outcome of such claims.

Legal

This agreement is governed by Greek law. Should any dispute arise, the competent courts of Heraklion shall have jurisdiction. Our cancellation and refund policies apply equally to all customers regardless of their country of origin.

WinRental.gr is not liable for delays or failure to perform obligations due to events beyond reasonable control, including extreme weather, natural disasters, strikes, government restrictions, or transport disruptions.

We will always try to assist and find a fair solution; however, refunds or compensation cannot be guaranteed in such circumstances.

We sincerely hope it never comes to that – if something goes wrong, please talk to us first and we will do our best to sort it out.
